Providing proof of employment for probation confirmation

When a candidate’s contract ends during probation, Jobref allows you to request a fee waiver by submitting anonymised proof of employment. We do not collect full contracts by default, but we must validate your documentation before granting any waiver. This article offers detailed guidance on when to apply, what evidence is acceptable, how to anonymise sensitive details, and how to complete the submission process in your Jobref dashboard.

When this applies

This procedure is relevant only if:

  • A new hire’s employment is terminated within the probation period defined in your agreement.

  • You intend to request a fee waiver for that hire.

If the contract ends after probation or you do not seek a waiver, no proof is required.

Acceptable proof types:

  • Termination Letter: A formal notice of contract end, with personal fields redacted.

  • Resignation Email: The employee’s resignation or your confirmation email, anonymised.

  • System Screenshot: An HR or payroll system view showing hire details and status.

Anonymisation guidelines

  • Use redaction tools to blur or block out salary figures, personal addresses, and identification numbers.

  • Verify that only the hire date, end date, job title, and termination reason remain legible.

  • Save your file as PDF, JPEG, or PNG for seamless upload.

Steps to submit your proof

  1. Log in to Jobref and open the candidate’s profile card.

  2. Change the status to “Contract Ended.”

  3. Click “Attach Proof” and select your anonymised file.

  4. Review and click “Submit.”

After submission

Our support team will acknowledge receipt within one business day and complete validation within two business days. If additional information is needed, we will notify you directly. Once approved, your fee waiver request will be processed automatically and reflected in your billing dashboard.
